Work View Preference
Is a user-based configuration that controls visibility and filtering of Requests, Quote Responses, and Messages based on Team Assignments. This feature ensures users see only the data relevant to their role, while still allowing flexibility for collaboration across teams.
Who Is This For?
- Issuers of RFPs
- Responders
- Administrators managing user visibility and permissions
What It Does
Work View Preference determines whether a user can:
- Only see data assigned to them
- See all data, with the ability to filter by team members
Additionally, users with access to all data can have their default view set to:
- Assigned Work Only
- Everyone’s Work
Configuration Options
🔐 Admin Controls
Admins can configure each user with one of the following settings:
| Option | Description |
|---|---|
| Assigned Only | User sees only Requests, Quote Responses, and Messages assigned to them. No filtering available. |
| Everything (Default to Assigned) | User sees all data, but the default view shows only their assigned work. |
| Everything (Default to All) | User sees all data, and the default view shows everyone’s work. |
👤 User Controls
If a user is not restricted to "Assigned Only", they can choose between:
- Everything (Default to Assigned)
- Everything (Default to All)
This allows users to personalize their default view without compromising data access.
Using the Assignment Filter
Users with access to Everything will see a site-wide filter (multi-select) labeled Assignment. This filter:
- Appears on Dashboard, Workspace, and Records pages
- Applies to Requests, Quote Responses, and Messages
- Honors the user’s default view setting
- Is not visible to users restricted to Assigned Only
✅ Best Practices
- Ensure that Team Assignments have been established.
- Use Assigned Only for users who should focus solely on their own work.
- Use Everything for users who collaborate across teams or need broader visibility.
- Encourage users to set their default view based on their workflow needs.
