What are Rapid Quotes?
Rapid Quotes are a feature within the RingmasterRx system that allows PBMs to create pre-built RFP responses that can be assigned to specific consultants. When requested by a consultant, Rapid Quotes will be submitted instantaneously saving the PBM time and providing the consultant with an instant response. PBMs can see every Rapid Quote that has been requested and retain control over which consultants have access to their Rapid Quote profiles.

Accessing Rapid Quotes
Once a PBM user is logged into the RingmasterRx system they can access their Rapid Quote Profiles by following the below steps.
- Click on the RingmasterRx Drop-down Menu in the upper left corner of the screen and select Administration
- If the user has access to multiple organizations, they will navigate to the Organizations screen where they will need to select which organization they would like to view. To select an organization, the user will need to click the View Details arrow for the intended organization. If a user does not have access to multiple organizations, then skip to the next step.
- Once you are on the Organization Details screen you can access your Rapid Quote Profiles by clicking the Rapid Quote header. If the Rapid Quote Header is greyed out, that means you have yet to create any Rapid Quote Profiles. To create your first Rapid Quote profile please follow the directions in the “Creating a Rapid Quote Profile” section below.
- Once the Rapid Quote Header is active, you can click on the header to see any existing Rapid Quote Profiles. You can edit or delete any existing Rapid Quote profiles by clicking the Edit and Delete buttons on the right-hand side of the screen.

Creating Rapid Quote Profiles
Once a PBM user is logged into the RingmasterRx system they should follow the first three steps in the above Accessing Rapid Quotes section which will help them navigate to the Organization Details screen. Once on the Organization Details screen users can follow the below directions to create a Rapid Quote profile.

Uploading LDD and Specialty Drug Lists
- The first step in creating a Rapid Quote profile is uploading an LDD list and a specialty drug list that will be assigned to your organization and tied to all Rapid Quote profiles. To upload the lists, begin by clicking on the Ringmaster Rx Header. If the correct LDD and specialty drug lists have already been uploaded for your organization, then you can skip to the Creating a Profile – Step 1 section.
- Once you have completed the above step, the LDD List and Specialty Drug List sections will appear below the header. To import either your LDD list or specialty drug list, select the Import File button in either section.
- Once the Import File screen appears, click the Add CSV File button in the middle of the screen. It’s important to note that the system can only import CSV files. If your file is in a different format (ex. Excel) then you will need to save it as a CSV file before uploading.
- Once you have selected the file you want to upload and click Next.
- The system will read the file and bring up a second screen where you can map the required data fields. In this case, the only data field that needs to be mapped is NDC Code. To map the NDC Code, click on the drop-down arrow to the right of the NDC Code field name. This will show you a list of the column headers in your document. Please select the header of the column containing the NDC codes.
- After mapping the NDC code field to the proper column in your file, click the Import button to complete the upload.
- If you are replacing an existing list, make sure to check the Overwrite? box before clicking the Import button. If the Overwrite? box is unchecked the system will append the new list to what is already stored in the system.
Tips for importing LDD and Specialty Drug Lists
- The LDD list should contain the NDCs for every drug that will be considered an LDD when applying the pricing guarantees.
- The specialty drug list should contain the NDCs for every drug that will be considered a specialty drug when applying the pricing guarantees. This should include all LDDs.
- When uploading an LDD or specialty drug list the first row of the file should contain the column headers. If there are any rows above the column headers, which sometimes occurs when there is a logo or title, the system will not be able to identify the column headers.
- The NDC column cannot not have any blank values, otherwise the system will give you an error message. This error can sometimes be the result of a footer sitting a few rows below the bottom of the list. If that is the case delete the footer.

Creating a Profile - Step 1
- Once the LDD and specialty drug lists have been uploaded, you can begin creating a Rapid Quote profile by clicking on the Rapid Quote header.
- Next, click the Create Profile button that appears below the Rapid Quote header.
- After clicking the Create Profile button, the Create Profile screen will appear. This screen contains six steps which are outlined on the left-hand side of the screen. All six steps will need to be completed to finalize the Rapid Quote profile. Starting with step 1, begin by entering a name and description for the Rapid Quote profile under the Profile Information section.
- Specify the terms of the Rapid Quote profile (formulary type, network, etc.) by changing the fields in the Rapid Quote Terms section.
- If a pre-set consulting fee is included in the Rapid Quote, enter it in the Rapid Quote Fees & Credits section and specify the basis of the fee and how the fee will be billed.
- If you are offering either an implementation credit or pharmacy management fund, you can enter those amounts under the Other Rapid Quote Fees & Credits section.
- Click the Next button to move to Step 2.

Creating a Profile - Step 2
- Enter the name of the quoted network.
- If applicable, enter the admin fee and admin fee basis.
- If applicable, enter the PMPM Guarantee.
- Enter the applicable discount and dispensing fee guarantees by channel. Please note that if a discount field is left blank then claims in that channel will process with a 0% discount. It’s best to provide some level of discount for each channel. If LDDs are included in the specialty guarantees you can make the LDD guarantees the same as specialty.
- In the Inclusion/Exclusion section indicate whether each potential exclusion is included or excluded from the discount guarantees by clicking the toggle next to each exclusion.
- If a toggle is set to excluded a box will appear allowing you to provide a comment regarding the exclusion. Comments are not required.
- Click the Next button to move onto Step 3.

Creating a Profile - Step 3
- Enter the quoted formulary name.

Specify the rebate structure based on the below options.

- “Rebates” – Traditional rebate structure where guarantees apply at either the per brand or all claim level.
- “Admin Fee Credit” – In lieu of rebate guarantees, an admin fee credit is being offered.
- "Greater of Rebates or Admin Fee Credit" – Both traditional rebates and an admin fee credit are being offered, but the client will only receive the greater of the two values.
- “Hybrid (Rebates + Admin Fee Credit)” – Both traditional rebates and an admin fee credit are being offered. The client will receive the full value of both the traditional rebates and the admin fee credit.

Specify the guarantee structure based on the below options.

- “Flat” – Rebates are paid as a set amount per brand claim or per claim. None of the actual rebates are passed through to the client.
- “Pass-through” – The client receives a percentage of the actual rebates collected. There are no guarantees at the per brand or per claim level.
- “Greater of 100% or Flat” – The client receives the greater of the actual rebate total or the guaranteed rebate total based on the flat per brand or per claim guarantees.

- Enter the admin fee credit amount, if applicable.
- Enter the number of days until rebate payment is received following the end of the quarter.
- Enter the applicable rebate guarantee by channel. Please note that if a rebate field is left blank then claims in that channel will receive no rebate credit. If a certain channel is included in the same guarantee as another channel, then enter the same amount for both channels.
- In the HIV Rebates section, use the toggle to indicate whether HIV claims will be included in the specialty rebate guarantee.
- In the Inclusion/Exclusion section indicate whether each potential exclusion is included or excluded from the discount guarantees by clicking the toggle next to each exclusion.
- If a toggle is set to excluded a box will appear allowing you to provide a comment regarding the exclusion. Comments are not required.
- Click the Next button to move onto Step 4.

Creating a Profile - Steps 4 & 5
- In steps 4 and 5 you will be asked to answer numerous questions regarding the proposed contract. For each question, you can click the toggle next to the question to indicate whether the question is confirmed or not confirmed.
- If a question is marked not confirmed then a comment box will appear allowing you to enter a comment.
- If the toggles are not working, uncheck the Accept Defaults box at the top of the section.
- Click the Next button to move to the next section.

Creating a Profile - Step 6
- In step 6 you will be asked to answer numerous clinical questions related to formulary management, utilization management, patient assistance programs, international sourcing, and copay assistance programs.
- For questions with a toggle, you can confirm the statement by moving the toggle to the right. When moved to the right the toggle will be highlighted purple and a checkmark will appear. To non-confirm the statement move the toggle to the left. When moved to the left the toggle will be highlighted gray.
- For all other questions, please select one of the available options or type in your response.

Creating a Profile - Step 7
- Step 7 allows you to assign the Rapid Quote Profile you are creating to specific consultants. Consultants will not be able to request a Rapid Quote from you unless you assign them the rights to do so. To assign the Rapid Quote Profile to a consultant, simply drag their name from the Available Organizations list over to the Organization to be Assigned list. If the client you are looking for is not in the Available Organization list, that means you are not currently on their panel. Please reach out to jtheriault@ringmastertech.com if you believe you should be on a specific consultant’s panel.
- Click the Save button to finalize the creation of the Rapid Quote Profile. Once the Rapid Quote Profile is saved it will reside in the Rapid Quote Profile section. In the future you can edit or delete existing Rapid Quote Profiles by following the instructions in the Accessing Rapid Quote Profiles section.
